Using a Temporary Code at the Point Of Sale

Some retailers often create so-called ‘dump codes’ in their POS system for till operators to use in the event of an item not scanning. At Epos Freedom, we prefer to use the term ‘Temporary Code’. This implies that the correct code will be found and the entry in the temporary code can be later reversed and corrected. We advocate this approach because the dump code approach will quickly cause inaccuracies in a retailer’s stock.

Creating the Temporary Code

Epos Freedom’s product Narrative feature makes it easy to operate a Temporary Code approach whereby you can collect data on the non-scannable item. To achieve this you will need to create your temporary code in the Create SKU’s option. (RMS > Stock Control > Add Products > Create SKUs) While editing the product click on to the Epos & Pricing tab and set the Required Narrative field to ‘Blank Narrative’:

Once this is set, a POS the operator will then be prompted to enter some free text whenever that code is entered at the till. We suggest the till operator scans the barcode (if there is one) , and then enters a brief description: This will ensure that it easy to later trace what the item is (so that it can be allocated to the correct stock controlled code), and also so that the customer has a receipt that is valid for the item purchased.

Reporting

You can report later on sales of your temporary code by using the ‘POS Sales with Narrative per SKU’ report. (RMS > Reporting > Report System > POS Reports > POS Sales with Narrative per SKU) Simply enter your SKU number, store ID and a data range and you will see a list of all the transactions with their narratives so you can check if they have been reversed.
